Operations and Logistics Co-ordinator

About the Role

We are looking for a highly organised and proactive Operations Coordinator to support the day-to-day running of By Pariah. This is a dynamic and varied role covering all operational touchpoints across DTC, wholesale, customer care, logistics, and sample management. The ideal candidate is a strong multitasker with excellent attention to detail and a hands-on approach, comfortable working independently and managing competing priorities.

Key Responsibilities DTC Operations

  • Oversee daily fulfilment of online orders, ensuring all shipments are dispatched accurately and on time.
  • Monitor stock levels across all channels, conducting regular audits and maintaining accurate inventory records.
  • Coordinate restocks and replenishment needs in collaboration with the Operations Manager.
  • Act as the first point of contact for customer enquiries via email and digital platforms, ensuring a prompt and helpful response.
  • Manage the returns and repairs process, providing clear updates to customers and ensuring timely resolutions in line with our brand standards.
  • Supervise interns working within DTC operations, offering guidance and task management as needed, notably through peak trading periods of the year.

Wholesale Operations

  • Manage wholesale order fulfilment from booking-in to picking, packing, and dispatch, ensuring accuracy and efficiency. Ensuring organised tracking and seamless communication with transport and logistics teams.
  • Operate and maintain EDI (Electronic Data Interchange) systems for seamless integration with retail partners.
  • Be the main point of contact for sales agents and wholesale partners, handling all queries, order updates, product data, and RTV processing.

Administrative & Office Support

  • Maintain and manage the company’s internal master documents, including but not limited to product master sheets, PR tracking sheets,
  • Upload and update product data across wholesale platforms, including JOOR.
  • Monitor and re-order operational and office supplies such as shipping boxes, gift packaging, and branded materials.
  • Ensure all systems and processes are running smoothly across the office environment.

Public Relations & Sample Management

  • Track internal samples and ensure all sample loans and returns are logged accurately in the sample tracker.
  • Coordinate with PR agency and internal teams on all sample-related requests, including timely returns and call-backs.

Repair Management

  • Log, track, and manage all customer and wholesale repair requests.
  • Liaise with production teams and workshops to ensure timely and high-quality repairs.
  • Keep customers and wholesale partners informed throughout the repair journey.

General Operations

  • Work closely with the management team to implement improvements and optimise workflows.
  • Support the execution of new product launches, events, and seasonal campaigns.
  • Serve as the point of contact for day-to-day operational and office needs.
  • Proactively take on new responsibilities as the business grows.


Candidate Profile

  • 2+ years in a similar role.
  • Highly organised with excellent time management and attention to detail.
  • Confident in managing multiple tasks and priorities simultaneously in a fast-paced environment.
  • Comfortable working independently and taking initiative.
  • Strong communicator with a solution-focused and customer-centric mindset.
  • Experience in luxury, fashion, or fine jewellery sectors is a plus.
  • Experience with operational tools such as Shopify, JOOR, Xero, and EDI platforms preferred.
